Languages for supplier self-registration

Dear User Community,

 

we are currently in the process of implementing the SIM module for our global vendor on-boarding.

We identified our main languages globally and will go ahead and translate the SPQ into those languages.

 

Now my question to you is, do you require that the suppliers are responding to the SPQ in English (latin characters) or do you let them respond in their local language?

Our internal approvers in SIM mostly speak English and it would be an issue for us if they are responding in their local languages, especially with non latin characters.

Company code/Purchasing Unit are not editable while creating PR

Hi,

 

Previously, while creating a PR, system pops-up to fill up company code and Purchasing unit fills up automatically once company code is chosen.Now, everything else is same only these two fields are not editable while creating new PR. Even if I copy old PR to create a new one, it does not allow to change the value.

 

Can anyone help me this.

Training for suppliers invited to respond to RFPs

I would be interested to know how are other Ariba Sourcing users address the issue of training suppliers invited to respond to an RFP who are first time Ariba users. What best practices are out there. The reason for raising this issue is because there are still a large number of companies that have not used Ariba. This is particularly true in regions like Asia, where langauge barriers can add another level of difficulty. We have very limited resources in house. project owners have multiple responsibilites and to achieve the ROI on our Ariba solution and the efficiency leveles we promised we can afford task the project owners with holding supplier training sessions. We notice that a considerable number of suppliers decline to participate in our RFP due to lack of familiarity with the tool or, if they participate, they are not comfortable directing all communication and the entire proposal submission through the tool. This impacts the efficiency rates that we were expecting to achieve from use of Ariba as opposed to the traditional word and excel spreadsheet method.

 

I know that there are some companies out there that are still using the old method (from the time when eRFXs were pionered), that is holding training sessions for suppliers invited to RFp or setting up training events. As I said, this require a significant amount of resources, in my opinion.

 

Also, I found that some suppliers do not use or do not find the training videos very useful. Besides, to get to the guides and help menus you need to log in first and sometimes they can't even pass that stage and won't usually look for Help and guides once they are in as they are overwhelmed by RFP content, pre-requisites etc.

 

One solution that I considered is to be able to attach some supplier user guides that I developed myself with screenshots and a login user guide to the invitation email. That way the supplier would get not only the link to the event/password reset but also a quick guide that at least will help him go through the first steps. The problem is that the email templates available in Ariba do not seem to accomodate that. This is also true with email messaging during an RFP where messages composed from Ariba do not go out with attachments. As a result, we still get a lot of calls from suppliers after we publish the event (in spite of "heads-up" emails we sent suppliers before publishing the RFP) and we end up doing a lot of micro-managing around RFP that eliminates any efficiencies we might have achieved.

 

I am interested in any other ideas, workarounds, best practices.

Integration between Ariba Sourcing x Ariba Contract

I'm still new with Ariba, so after reading a lot of documentation, I got this doubts that I would like to clarify:

 

If I award a supplier  from Ariba Sourcing  can I create a contract straight from there 

 

(I mean its there any button called "create contract" direct from Sourcing screen).

 

Or  would I have to actually enter the Contract (from Ariba contract)  and create a whole manual process?

 

* It`s there any kind of field in the Ariba Contract which give references from the sourcing vendor awarded !!

Parent-Child Relationship in SIM

SIM Integration with SAP ERP using RESTful API

Hi,

 

We are planning to integrate our Ariba SIM with SAP ERP using Ariba RESTful Web Service API using data-only JSON data representation.

Both Supplier Basic Profile and Extended Profile must be sent from SIM to SAP ERP via this interface.

Appreciate if you can help clarify the following:

1. When a supplier is created in SIM and data sync relationship is establish with the supplier (with AN), a supplier profile update notification to sent to the Ariba Network peding queue.  Does this only happen when 1- the Supplier workspace in Ariba SIM has been approved AND 2 - the supplier integration feature is enabled for the supplier in SIM (Integration = Enabled in Organization Profile page)?  We want to make sure that ONLY approved suppliers in SIM should be sent via the interface.

2. In case the profile updates are made available in AN pending queue without having the Supplier workspace fully approved in SIM, would it make a difference if we only enable the Supplier Integration feature AFTER the supplier workspace has been fully approved so that it will send the profile update notification to AN Pending only upon approval of supplier workspace in SIM?

3. Does the above scenarios also apply to supplier's extended profile in SIM (SPQ) such that SPQ information is sent to the Pending Queue only after supplier workspace is fully approved in SIM?

 

We initially considered using Direct/Mediated connectivity integration method for this but Extended Profile (SPQ) is currently not supported with this method.

We are interested in how organizations are using Ariba Contract Management for NDAs?

 

They tend to have a high volume and often do not have format expiration dates. Currently we assign them as fixed with an expiration date set two years out.

I'm looking for some information on using the online scoring piece of the Ariba Sourcing module.  We're having a hard time convincing some of our users that it's meaningful piece of the tool to use.  We receive  a lot of feedback from users saying it takes too long and it's too complicated etc.  I'm looking for information to help support the usage of online scoring such as:

 

1) criteria around when to use it vs not using it

2) how do you convince people to use it?

3) on average what % of your events is being scored online?

Invoice Against Contract for Coffee Services

I am trying to put together a contract for coffee services with as much automation as possible.  The ideal scenario would be:

 

Invoice against contract with one line item for every site across the country.

The supplier would issue invoices against the proper line item after delivery of the supplies.  Each line item would have the appropriate accounting for that site.

The invoice would be automatically forwarded to the correct user for approval based on the accounting code for that site.

 

The problems:

 

What would be the best template to use?  BPO or Contract?

 

I'm assuming if I use a contract I would have to use an item based contract.  That requires a negotiated price.  I just want the supplier to send an invoice for the amount charged for the delivery and supplies.  I don't want to have to create items for every type of supply, coffee, cups, stirrers, cream, etc.  The supplier is using EDI so they are restricted on what they can do on their end.

 

Is there a way to do a line item that just has a budgeted amount for a year and the supplier keeps sending invoices until the year is up or the budget is expended?  A PO won't work because you need a quantity and a unit price.

 

Any ideas are appreciated.

We are a supplier and I want to fetch new purchase orders from Ariba by polling.

 

The documentation in the Ariba help for "cXML PEnding Queue" (https://uex.ariba.com/node/413) says

"You can configure your Ariba Network accounts to retrieve cXML documents through the pending queue using the cXML Pending Queue routingmethod."

..."use the GetPending/Data Download transaction method."

..."You can use this routing method to retrieve the following transactions:

     New Purchase Orders

     Changed/Canceled Purchase Orders

     Blanket Purchase Orders

     Status Update Requests"


I noticed cXML Pending Queue as an option for the routing in Network Settings>cXML Setup Routings for new orders, so set it.

If I go to our test catalogue on our account, and test it, generating a test purchase order, with our routing to cXML Pending Queue, I can see the PO appear in the queue through the web GUI at

InBox>>Pending Queue (from extended menu)

In there when the Document Type filter is set to "Purchase Order" it s possible to see the PO. I now want to use the API to get hold of that PO to process it.

 

Page 249 of the CXML Solouttions Guide describes the "Get Pending/Data DownloadTransaction", which seems like the way we would obtain these orders.

I can't get those test orders to be returned to me issuing one of those requests.

 

I am using our test Ariba account and po generated by the catalog tester, so they are from the catalog test "customer".

 

I have lifted the example from the solutions guide. I wonder if the solutions guide is missing a message type for this?

I would expect to pass something like PurchaseOrderRequest in the <MessageType>PurchaseOrderRequest</MessageType> node???

There are the following listed, but not mention of purchase orders.

• StatusUpdateRequest

• ConfirmationRequest

• ShipNoticeRequest

• ServiceEntryRequest

• InvoiceDetailRequest

• SupplierChangeMessage

• SalesOrderRequest

• CopyRequest.PaymentProposalRequest

SIM – maintain business owner?

What is the best way to maintain the internal business owner (Category Manager) for a supplier in the SIM module.

 

We can put a question in the SPQ, but that’s just a long list with 100s of names as text that are not tied to actual user accounts.

The ownership changes for some suppliers every month as well, so updating it also needs to be considered.

 

What works for you, how is it done in your organization?

Sourcing Event Problems

Hi,

 

Currently we are on On Premise 9r1 and having problems in several Sourcing Events.

One instance is, it shows the time remaining in open bidding is 00:00:00, it should proceed to pending selection.

Therefore we cannot extend the event.

Any thoughts?

Attach a link or an attachment in punchout

Hi,

 

I have a question on PunchOut Catalog - we would like to include a link or an attachment when a buyer user returns from our site (i.e. including this into the punch out_order_message)

From the cXML dtd it looks we can include this but while testing on the Ariba Network test account :

 

1. when including the link as

 

          <AttachmentReference version="1">

            <Name xml:lang="en">test link</Name>

            <Description xml:lang="en">description for test link</Description>

            <InternalID>1234</InternalID>

            <URL>https://website.com/path/to/file</URL>

          </AttachmentReference>

 

the message is received correctly but the link is not displayed anywhere (even when I review the details of the order line item)

 

2. when I include an attachment as

My basic question is if its possible to include an attachment or a link as part of the message returned from the punch out site into Ariba P2P and if so (in case of link for example) how it will render into Ariba P2P

Came to know that If the Adaptor with PI middlewareis ued   for integrating ASN with SAP ECC for PO/Inv Automation , it will not support functionalities like   - 1. Consignment Orders 2. Sub-contracting Orders 3. Scheduling Agreement releases,  Is it correct?

Defaulting Remit-To Addresses On Supplier Invoices

Has anyone come up with a way to automate the remit-to address that defaults on a supplier's invoice when submitting an electronic invoice (Ariba P2P on-demand)?  From everything I have heard, it seems as if you need to tell a supplier either 1) the valid list of remit-to ID's or 2) or the valid list of remit-to addresses that you have enabled in your ERP.  Without this information, it appears as if the invoice will kick out into an invoice exception process in order to allow Accounts Payable to create the address in the ERP.  How do you eliminate the people from this equation?  I want to create a process where all suppliers can "walk up" and submit an electronic invoice without anyone having to speak with them or deal with invoice exceptions because of a mismatched remittance address.  Any help would be great!
