Amending existing workspaces

Does anyone have any suggestions for amending existing workspaces?  We have a lot of 1 page renewal agreements to amend contracts.  The renewals require legal review.  When we first built out our process we did not have a renewal phase built in, same with the legacy loaded agreements. 

 

I have since modified the template to trigger an amendment phase whenever renewal is selected as an amendment type, however as this only impacts new workspaces it won't come into play for some time.

 

Is there a way to push out a phase to existing workspaces, or even grab a phase that has been built out and stored somewhere (sourcing library maybe?).  Sourcing leads manage their own workspaces, however as the admin I have been manually building the amendment phase out to workspaces on a one by one (as needed) basis.  Thanks.

How to add myself in Surrogate Bidders group

Hi there,

 

During one of the events I was doing for my Client, I had a very recent brush with a scenario where one of my suppliers lost his internet connection in the middle of the Event. Event type was Dutch Reverse Auction. I had to immediately call up Ariba Support and requested them to surrogate bids on my supplier's behalf.

Afterwards, the event went through well (Ariba support was very helpful in coordinating this)

 

However, I was thinking wouldn't it be better if I add myself in Surrogate Bidders group so that time I lost in calling up Helpdesk and arranging for Surrogation, I could save on that since in a Dutch Reverse Auctoin, time plays a crucial role.

 

I would be glad if you could guide me in adding myself in Surrogate Bidders group.

Contract Workspace naming structure

How do you name your contracts in ACM? We are currently struggling to use a proper naming structure in our process, as a result of which users are finding it hard to search for contracts and amendments.

Hi,

 

Looks like blogging on this site is not enabled. When I try to start a discussion, I can easily get to this page where I am typing all this.....

 

But when you say, I want to create a "blog" the locations are not enabled to choose from.

Capital Projects

Does anyone currently use any Ariba tool to manage capital projects?  I am trying to develop a process specifically for Real Estate and Facilities that will:

  • enable a user to document a requested budget amount, by asset type
  • track whether the capital project was previously budgeted or unbudgeted
  • route for approval
  • create purchase orders based on previous approved funds from capital project
  • track all capital projects by having visibility into all orders and invoices relative to the project

 

These statements are at a relatively high level.  For those of you familiar with a capital projects process, you will realize that there are a lot more nuances to the process than what I have listed here which must also be taken into account.  Thanks for any help you can offer.

Using Budget Manager and Accounting For Tax and Freight

We are using the Budget Check feature in Ariba P2P, and was wondering how anyone else using this feature is accounting for tax and freight amounts.  In other words, the total amount of the outbound purchase order is what debits against the budget.  However, the tax and freight that a vendor charges on their invoice will ultimately debit against the cost center in the ERP after being reconciled.  This creates a different amount of money actually debited against the cost center compared with the amount of money debited within the Budget Check feature.  How is anyone handling this discrepancy?

My Company is iin the process of adding Capital Procurement to our P 2 P solution which we currently use for Indirect purchases only. Our back end ERP Ssystem is SAP. We are considering budgeting at the Internal Order level in the P 2 P Soluton.

1. Are there any other customers using P 2 P for all capital purchases (PP & E and computers)? If so, can yo uelaborate on the wins and challenges you faced?

2. Are the any customers using the Budget check functionality in P2 P?

Error when sending the document to Ariba Network

Hi Experts,

 

While sending data through PI to Ariba using Ariba Network Adapter , i am getting the below error message.

 

An error occurred when sending the document to Ariba Network Error: [[Code]: ERR501 [Description]: Unexpected Error [Message]: The url for the outbound is null with request type: OrderRequest] causes a XIAdapterException and can be retried

 

Can you please suggest what is the reason behind this failure.

Few queries - While awarding, cant we attach any documents to send to suppliers if needed.

Hi folks,

 

I am having below few queries -

 

1. While awarding for the sourcing event, I am trying to attach the documents to send to awarded supplier in Scenario creation but not able to see any option. Is there any way ?

2. Suppose 1 supplier has been at rank 2 during bidding and now offline he's giving bid value less than rank1 (L1) supplier. How to handle such cases. Do we need to do re-auction or can we maintain somewhere in Ariba to avoid discrepancy.

3. Can we re-open the Auction once it is in Review/Pending selection state ?

 

Your inputs would be helpful.

How to load contract requests (CR) in contract module?

hi All

Can someone help me to load contract terms using downstream. I am able to load contract workspaces successfully but unable to do so for contract terms. I am following below steps, let me know the correct procedure that I need to follow

 

A. Steps for Loading Contract Workspaces

i) prepare 4 csv files, contract.csv; contractteams.csv; ContractDocuments.csv; ImportProjectsParameters.csv and zip it together

ii) Go to Manage - Administration --->project manager -->import legacy Contracts

iii) Load this zip file

This works perfect and contracts workspace gets created in Contract Module

 

B) Steps for Loading Contract Requests (Contract Terms)

i) Prepare 4 csv files i.e. Accounting.csv, ContractHeader.csv; ContractItemInformation.csv; TermPricing.csv and zip it together

ii) Go to Manage - Core Administration --> Site Manager ---> Data Import/Export --->search for "Import Contracts in ZIP File"

iii) Load this zip file under above task i.e. "Import Contracts in ZIP File"

 

Job completes successfully but message says no records were created. when I search for Contract Request, I dont find

Please note, I am manually inserting contract request # in  contractheader.csv under "BuyerContractID" . I am keeping few fields blank as well.

 

please let me know if I am missing any steps or some fields are supposed to be mandatory

Ariba network PI integration

Good Afternoon,

We are getting some problems connectig sap PI 7.4 dual stack with the Ariba Network, but we can't identify why the connection is not working well.

We have updated the cxml adapter and all the steps to configure the scenario as it says at connect.ariba.com but when we send a message to Ariba the following error is been produced:

Message could not be forwarded to the JCA adapter. Reason: Error when sending message: Profile request failed for [Channel] CCT_OrderEnquiry_cXML_Receiver with the following [ERROR] Cannot connect to Ariba SN

This is the configuration made for the communication channel:
