How to do Mass Creation of New Suppliers

Hi,

 

I am working on Ariba On-Demand Solution.

 

I have to create an RFP where I need to invite more than 100 Suppliers, and all these suppliers will be invited for the first-time i.e. they do not exist on Customer's Vendor Database.

 

Can anyone guide me on how can I create New Suppliers in one go rather then creating them one-by-one?

Reverse Auctions: Market Feedback

I would like to poll Ariba Sourcing users  and consultants on the following subject which I didn't have a chance to bring up during the conference.  I am curious to know what reverse auction market feedback approaches are most popular with Ariba users: 1) rank only (no pricing visible to suppliers), 2) rank only with the leading bid visible or 3) all bids visible.  Please share your thoughts on which one produces better results and why.

Sourcing Request Template

Hello!  My company recently purchased Sourcing Professional and we expect to go live within a week or so (YIPPEE).  For the past couple of months, we in the Purchasing & Procurement have been creating templates, testing scripts, publishing test events, and participating in those events as suppliers.  One thing that we're missing is a Sourcing Request Template so business owners such as the Engineering department can use to provide us with information about the products and/or services they want us to source.  Does anyone have a template for this type of document?  If so, please forward it to me.  Thanks very much!

Are there alternatives to the Integration Toolkit?

My Organization is preparing for the installation of Ariba and we are preparing to create the mater data files.  We've been told that we need to use the Ariba Integration Toolkit to automate the integration of the master data files to ariba. This toolkit is not a desired approach by our organization since we will need to support another tool and we need to go through a lot of hoops to open up a port in the firewall.  We will be using all of the web services available to integrate, but not all of the mater data items we need to automate are included as a web service.

 

Has anyone integrated with Ariba not using the Integration Toolkit?

Tracking user activities

Question: for security reasons it is important for us to track user activities on all contract workspaces. Is there a possibility to monitor these activities?

Spend Classification - What if you have a category that does not map to UNSPSC or ACT?

Our custom category taxonomy has several entries that do not map to any of the 22,000+ entries in the ARIBA ACT/UNSPSC taxonomy.  They tend to be company or industry specific categories.  For example:  Clinical Trials Patient Recruitment
The spend cube requires at leat one entry for each sub category in the UNSPSC dimension.  Thus we are forced to map these custom categories to items in the ACT taxonomy that are totally non-logical such as 'Space Ships' - typically an item that would never be purchased is chosen as the mapped ACT item.

Can we get new codes added to the ACT/UNSPSC taxonomy that represent our company or industry specific categories?

 

We are a 9R1 on-Premise instance.

Training for suppliers invited to respond to RFPs

I would be interested to know how are other Ariba Sourcing users address the issue of training suppliers invited to respond to an RFP who are first time Ariba users. What best practices are out there. The reason for raising this issue is because there are still a large number of companies that have not used Ariba. This is particularly true in regions like Asia, where langauge barriers can add another level of difficulty. We have very limited resources in house. project owners have multiple responsibilites and to achieve the ROI on our Ariba solution and the efficiency leveles we promised we can afford task the project owners with holding supplier training sessions. We notice that a considerable number of suppliers decline to participate in our RFP due to lack of familiarity with the tool or, if they participate, they are not comfortable directing all communication and the entire proposal submission through the tool. This impacts the efficiency rates that we were expecting to achieve from use of Ariba as opposed to the traditional word and excel spreadsheet method.

 

I know that there are some companies out there that are still using the old method (from the time when eRFXs were pionered), that is holding training sessions for suppliers invited to RFp or setting up training events. As I said, this require a significant amount of resources, in my opinion.

 

Also, I found that some suppliers do not use or do not find the training videos very useful. Besides, to get to the guides and help menus you need to log in first and sometimes they can't even pass that stage and won't usually look for Help and guides once they are in as they are overwhelmed by RFP content, pre-requisites etc.

 

One solution that I considered is to be able to attach some supplier user guides that I developed myself with screenshots and a login user guide to the invitation email. That way the supplier would get not only the link to the event/password reset but also a quick guide that at least will help him go through the first steps. The problem is that the email templates available in Ariba do not seem to accomodate that. This is also true with email messaging during an RFP where messages composed from Ariba do not go out with attachments. As a result, we still get a lot of calls from suppliers after we publish the event (in spite of "heads-up" emails we sent suppliers before publishing the RFP) and we end up doing a lot of micro-managing around RFP that eliminates any efficiencies we might have achieved.

 

I am interested in any other ideas, workarounds, best practices.


Anyone using Template Upgrade in Contracts?

We are considering using Template Upgrade in the Contracting module, and I was wondering if anyone has deployed this functionality today and what successes and challenges you have had are.

 

Particular to my scenario, I am interested in hearing feedback regarding the following:

  • impact to legacy converted workspaces (pre-Ariba)
  • impact to existing data -- all workspaces
    • i.e. workspaces have different versions (40+) of the template
  • did you chose to "ask before" or not
  • general wins from this feature
  • general challenges from this feature

DFS (Desktop File Sync)

Ariba function DFS (desktop file sync) helps to make it easy to work with files offline. However it names the folder for each project like WS12345678. This means that when you are involved in several projects finding files off-line is confusing and time consuming as the folder naming does not reflect the name of the project. The folder should instead have names of individual projects making it easier to work offline. Do post if in agreement.

Ariba ASN eInvoicing support for SAP "Limit" Order Types

We have hit a major obstacle in our implementation of Ariba 9r1 integrated with SAP on our ASN.

 

We have discovered that the Ariba ASN does not appear to have any support for SAP "Limit" order type line items (also called "Blanket" or "Framework" orders in the SAP world).

These are "value based" line items, such as a line that is strictly set at a $50,000 value, and then suppliers should be able to submit multiple invoices against this line of varying amounts until they hit the limit.

 

The Ariba ASN is built around lines that have a "Qty" and a "Price", but a Limit line is really a "Value based" line, which is completely different.

 

In SAP, the line type of Limit orders is "D" and with a UOM of "AU".  They always have a Qty of "1", but the Qty does not really have any bearing since these are true "value based" orders (what I usually call "bucket of money" type orders).

 

We have asked Ariba how to support these on the ASN for eInvoicing, but so far, they  have no solution for us.  They have a few "workarounds", but none are truly acceptable and will result in much confusion on the part of the supplier and would require us to have to change our network settings to allow suppliers to exceed both Qty and Price tolerance.

 

Right now, Ariba is saying this will be a "new enhancement" to their product, which I find surprising considering the number of SAP customers they have, and they have no estimate for us as to when this will be possible, or even if it will be possible.

 

We use Limit Lines for nearly all of our Service types of Orders, so this gap for us is huge. 

 

Is there anyone out there that is an SAP shop integrated with Ariba 9r1 and has found a way to support SAP Limit Order lines through the ASN for eInvoicing?

 

If so, I would like to hear from you in terms of how you achieved this.

Issue with Carriage-Return Line-Feed in Supplier Address field. Do you have this too?

We have several Suppliers where the Street address contains one or more carriage-return line-feed characters (HEX ‘0d 0A’).
This causes an issue when accessing a csv file produced from an AQL query or a Supplier Dimension extract.

For example:
Select SupplierId, StreetAddress from Supplier Where SupplierId = '1234'

 

returns

 

SupplierId StreetAddress           
40098     123 MAIN STREET
               #1400                       

The Street Address is:
123 MAIN STREET
#1400

 

I'd like the address to not contain the carriage return line feed and be

123 MAIN STREET #1400

 

A few questions:

 

(1) Do others have this same issue with The supplier Address or perhaps another field?  If yes, how have you handled it

 

 

(2) How can I remove all CR LF character from the Street Address field in my Supplier Dimension and replace with a single space.


(3) Is there a way in AQL to identify these suppliers? 
   e.g.  how to specify a WHERE clause like “WHERE StreetAddress Like ‘%HEX(0d0a)%’

Hi,

I was wondering if it would be possible to leverage our solution in a way that suppliers could upload by themselves their different certifications like ISOxxx etc. Then, when they expire, suppliers would get a reminder that it needs to be refreshed.

 

Anyone experience with that?

Testing Custom PunchOut Catalog

First, I am an Ariba newbie.      We are looking to integrate our existing web application,  that allows buyers to purchase services, with Ariba.  Due to the custom nature of our services, we have determined that using a PunchOut catalog makes the most sense.  I am reviewing the cXML Solutions Guide and I've read a few other documents in the Ariba Production Documentation site.  I believe I have a test punchout catalog setup in our test account.  One of my initial questions is how can I work with this test catalog pointing it to a development version of our web site on my local machine?  It appears that SSL is required even in the test account.  Can I use a self-signed certificate? 

 

The existing web application that we will be integrating with is ASP.NET application written in C# running on IIS.

 

If this is not possible, how can I simulate cXML transactions being posted from Ariba to our application when we are developing our solution?

Formatting RFx Content

I'm wondering if anyone has recommendations on a formatting issue we continue to have with Ariba Sourcing. During the RFx creation process, we use a number of different documents to copy data into Ariba; Sourcing Library Content, previous RFx in word and/or Ariba, email, etc.  The biggest complaint my users have today is the inability to set up an overall format for the RFx content.  When we copy and paste from word/email/etc the sourcing tool does not seem to recognize the style/font and will often display it in a totally different font than we see in the original document.  To fix this, we've resorted to using the Eraser to remove all formatting, but this is extremely cumbersome with events that have even a moderate number of requirements and questions.

 

We've also tried to use the import/export feature, but are so far stumped at how this can help us.

 

Ultimately, we'd like be able to set a standard style/font format for the entire RFx.  For example:

 

Sections - Tahoma 14 Bold

Sub-Sections - Tahoma 12 - Bold

Requirements - Tahoma 12 - not bold

 

I've submitted this as an enhancement request, but in the mean time, I'd like to see if anyone developed has workarounds to creating an RFP with standard formatting throughout the document.

Arthur Laffer predicts collapse when Bush tax cuts expire in 2010

Arthur Laffer is predicting the U.S. economy will collapse next year when George W. Bush tax cuts expire in 2010. His theory on the Obama tax plan is based on how the super-rich can choose when and just how they collect their income to evade having to pay their taxes. Laffer believes the economy is doing better this year than it should because these aristocrats are collecting a lot more of their loot and spending a lot more of their money before taxes rise. He says that when taxes go up, Americans who can will choose to make less money, thus reducing the government’s tax revenue anyway.

Arthur Laffer became famous when he helped to influence the Reagan administration to cut taxes. His Laffer Curve regarding taxes appears in numerous economic textbooks. Laffer, in his Wall Street Journal column, said that Reagan tax cuts brought the economy out of what was the worst U.S. recession given that the Depression -- until the Mt. Everest recession we're still trying to get out of now made that one look like a speed bump. He said when all of these tax cuts went into effect on Jan. 1, 1983 the economy took off like a rocket, with average real growth reaching 7.5 percent in 1983 and 5.5 percent in 1984. He doesn't seem to explain at all how Bush tax cuts in 2001 and 2003 in the face of two wars eventually ran the U.S. economy into the ground and destroyed a spending budget surplus he inherited from Bill Clinton.

 

Arthur Laffer’s curveball

 

The Laffer Curve tax cut argument misleads his readers, as reported by Asha Bangalore at Northern Trust. As another recession set in after Laffer's utopic Reaganonomic era, Bangalore wonders why the economy posted substantial growth after tax increases were implemented by Bill Clinton in 1993. A revival of bank lending following the Reagan hangover led to self-sustained growth despite all of the tax increases. Bangalore also points out that if the Laffer Curve theory about tax cuts is valid, the U.S. economy would have done much better than the weakest period of economic expansion in history following the Bush tax cuts of 2001 and 2003.

 

Obama has a tax plan lower than Reagan’s

 

Also, Arther Laffer's predictions of economic collapse when tax cuts expire in 2010 is apparently questioned by The Motely Fool. In his column Laffer says we're all going to die when the highest federal personal income tax rate goes to 39.6 percent from 35 percent. According to The Fool, it is worth noting that the 1983 cuts Laffer remembers so fondly lowered top rates from 69.13 percent to 50 percent. Top marginal tax rates under all but one year of Ronald Regan's presidency were a lot more than 50 percent. The Obama tax plan wants to revert the highest personal income tax rates to 39.6 percent, where they were within the '90s when the economy boomed and also the government collected much more taxes than it had spent.

 

Arther Laffer says he feels your pain

 

Arther Laffer, the chairman of an investment consulting firm and clearly very wealthy, is making predictions of economic collapse from a very narrow point of view. Bangalore goes further to point out that all of the obstacles the economy will face in 2011 have little to do with tax increases. Lackluster job growth and housing market challenges are factors that may have far greater influence on the economy. Most plan to keep their head up to survive. But when Arthur Laffer's personal income tax rate goes up 5 percent, the millions he won't pocket might seem to him like the end of the world indeed.

How do you handle DBA's on your Supplier record?

We are struggling with how to enter company names in a manner that makes them easily searchable/reportable.  In many cases the name of the legal entity is very different than the "common name" or DBA.  Right now we enter the name as "Delaware Titan Capital dba Valley Cab Co."  Is there a better way to do this?  Thoughts?  Suggestions?
